1) Document Classification Using Azure AI Document Intelligence, the system automatically classifies each document based on its layout and content. For example, it distinguishes between a birth certificate and a travel document, even if both are submitted in the same envelope. This automated classification ensures that documents are routed to the correct processing queue without manual sorting, significantly reducing delays and misfiling.
2) OCR and Scanning Automation Azure AI Computer Vision enables high-accuracy text extraction from these scanned documents, including Chinese or English characters. The extracted content is then indexed, making it searchable and accessible to researchers and the public. This not only preserves cultural heritage but also transforms static images into usable digital assets.
3) Data Extraction and Structuring With prebuilt and custom-trained models in Azure AI Document Intelligence, the system extracts structured data such as donor names, donation amounts, and tax reference numbers. This data is automatically validated and uploaded into the tax system, eliminating manual data entry and reducing the risk of transcription errors.
4) Human-in-the-Loop Feedback While the AI system extracts most of the required data, a human reviewer is prompted to verify fields with low confidence scores—such as unclear handwriting or missing signatures. This human-in-the-loop approach ensures accuracy while continuously improving the AI model through feedback, making it more reliable over time.
5) Integration with Backend Systems Using Power Automate, the workflow is fully automated—from document upload to data entry and case creation. This integration reduces processing time from days to minutes and enables real-time status tracking for citizens.
