It is often that most of departments/Bureaus are looking for solutions that can facilitate the searching of files in various file formats (e.g. .jpg, .doc, .xls, .ppt, .dwg, .pdf) through the department’s various Intranet systems (e.g. Intranet, eDMS, ERKS, etc.). Currently the files are stored in different systems, and users can only conduct keyword search in a single system at one time and repeat the search procedure again till the result is matched.
According to the huge amount of document volume and unfamiliarity of metadata definition, it may take a long time and much effort to search for files by categories, names or descriptions through each single system. Some files are not well tagged and inevitably a large proportion of files are scanned images of aged hard copies which are difficult for users to find them out. Thus, it is quite often that those scanned documents will require applying OCR to recognize the contents as text and tag with keywords to make them searchable.
